Post-Join Stabilization

Post‑join support to stabilize operations, clear exceptions, and finish what’s outstanding.

After go‑live, the most operationally intense work begins.. Paperwork queues build, transfers stall, rejected documents pile up, and workflows can break under real client activity. Post‑Join Stabilization is designed to bring control back fast—so you can stay focused on clients while the post‑join workstream is managed.

This service is delivered in weekly blocks and is intentionally limited to ensure responsiveness.

What This Is

A week‑to‑week operational support engagement focused on completing the post‑join workstream. This tier is ideal when you need ongoing help after go‑live—or when a transition has become messy and needs an experienced operator to recover.

This is hands‑on operational support as permitted by your platform/home office and your internal policies.

What We Focus On

  • Completing outstanding paperwork and account opening items (as permitted)

  • Initiating and following through on ACAT transfers (as permitted)

  • Rejected document cleanup, root‑cause fixes, and resubmission workflow

  • Daily/weekly workflow organization, prioritization, and sequencing

  • Post‑join project management, tracking, follow‑ups, and exception management

  • Coordination with internal teams and home office channels where permitted

What’s Included

1) Rapid Intake + 48‑Hour Priority Assessment (Start of Engagement)

  • Quick intake of open items, backlogs, and pain points

  • Priority list, sequencing, and a stabilization plan focused on the highest‑impact items first

2) Active Queue Management + Exception Resolution

  • Day‑to‑day support to move items through the pipeline

  • Clear tracking of what’s submitted, what’s pending, what’s rejected, and what’s awaiting approvals

3) Rejected Document Prevention System

  • Cleanup of rejected documents already in motion

  • Practical QC checkpoints to reduce repeat rejections going forward

4) Post‑Join Operating Rhythm

  • Regular working cadence (touchpoints and working sessions based on urgency)

  • Weekly priorities and a simple status snapshot to keep momentum and accountability

5) Workflow Stabilization + Light Process Improvements

  • Organize repeatable workflows for paperwork, transfers, and follow‑ups

  • Reduce bottlenecks and prevent the same issues from recurring

6) Closeout + Handoff (When You’re Stable)

  • Open‑items plan with clear ownership and next steps

  • Clean handoff so your team can sustain the workflow without ongoing dependence

Recovery Mode (When the Transition Has Gone Sideways)

If the transition has gone wrong—high rejected‑document volume, stalled transfers, major backlogs, or urgent cleanup—this service can shift into Recovery Mode. Recovery Mode prioritizes rapid priority assessment, intensive workflow control, and fast issue resolution to regain stability.

Who It’s For

Advisors and teams who:

  • Need continued support after go‑live to finish transfers and paperwork

  • Want help managing post‑join operations while protecting client time

  • Are dealing with high rejected‑document volume or stalled transfers

  • Need “recovery” support when the transition hasn’t gone as planned

Pricing

Standard Stabilization: Starting at $2,500 per week

Recovery / High‑Volume Backlog: quoted at a higher weekly rate based on volume, urgency, and complexity.

Pricing may vary based on book size, number of accounts in flight, team structure, and platform constraints.

Billed weekly, in advance. Work begins once the weekly fee is paid.

Engagements are scoped and priced prior to signing. Payment terms are defined in the engagement agreement.

Important Notes (Scope + Responsibility)

  • Work is performed as permitted by platform/home office access, policies, and approvals.

  • Client remains responsible for compliance decisions, approvals, and client communications (templates and suggested language may be provided).

  • Outcomes and timelines may be affected by custodian/home‑office processing times and Client responsiveness.

Outcome

You regain control of the post‑join workstream—reducing rejected documents, clearing bottlenecks, stabilizing workflows, and creating a clear path to fully operational normalcy.
